Terms & Conditions
Last updated 23 August 2026
These terms apply to every KREW Club Chapter booked through this site. Please read them before you book — completing a booking means you accept them.
01. Who these terms are between
These terms govern your booking and attendance of any KREW Club experience — a "Chapter" — booked through this website. "We", "us" and "KREW Club" mean the organisers of KREW Club. "You" means the person making a booking and, where you book for others, every guest on that booking.
By completing a booking you confirm that you have read these terms, that you accept them on your own behalf and on behalf of everyone you are booking for, and that the information you have given us is true.
KREW Club organises small group travel and social experiences. We are not a licensed tour operator or travel agency, and we do not sell insurance. Transport, accommodation and venues are provided by third parties we arrange on your behalf.
02. Who can book
You must be at least 18 years old to book and travel on your own. Guests under 18 may only attend with a parent or guardian who is also booked on the same Chapter and who accepts these terms for them.
We ask for a date of birth at registration so we can check this. Giving a false date of birth, or booking on behalf of someone who cannot meet this requirement, voids the booking without refund.
Chapters involve walking on unpaved mountain trails, long hours in a vehicle and time at altitude. You are responsible for judging whether that suits you. See Health and fitness below.
03. How a booking is made
A booking has three steps: you give us the details of everyone travelling, you choose seats on the vehicle, and you pay and upload proof of payment. Nothing is held for you until all three are done.
You may book for yourself alone, or as a group. A group booking is between 2 and 22 guests — 22 being the seats on the vehicle. The person who makes a group booking is the lead booker and is our single point of contact for it: we will deal with that person on questions of payment, changes and cancellation, and it is their responsibility to pass on what we send.
Seats are allocated on a first-come basis and are only yours once your booking is confirmed. Because seats stay available to everyone until that moment, a seat you have selected can be taken by someone else while you are still filling in the form. If that happens we will tell you at once and ask you to choose again; nothing else about your booking is lost.
On a confirmed booking you receive a booking reference for the whole group and a separate registration reference for each guest. Quote these when you contact us.
04. Payment and confirmation
The price shown at the seat step is the price for your booking. Payment is by bank transfer to the account shown at the payment step, and you must upload a clear screenshot or photo of the completed transfer before you can submit.
Uploading proof is not the same as being confirmed. We check every payment by hand, normally within 48 hours. Your booking is confirmed when we have matched your transfer against your booking, and your seats are only held from that point.
We may refuse or cancel a booking without penalty to us if the proof of payment is unreadable, does not match the amount due, appears altered, or cannot be traced to a transfer we have received. Where we have received your money and still cannot confirm you, we refund it in full.
Bank charges on your transfer are yours to pay. Please transfer the exact amount due — a short payment delays confirmation and may cost you the seats.
05. What your booking includes
Unless the Chapter page says otherwise, your booking covers return transport on the group vehicle from the stated meeting point, the activities listed on the Chapter's itinerary, and any entry fees for those activities.
It does not include:
- meals and drinks, unless the itinerary names them
- travel or medical insurance of any kind
- personal equipment, clothing or footwear
- your own travel to and from the meeting point
- anything you buy for yourself during the day
06. Changes to the itinerary
Timings on a Chapter page are our plan, not a promise. Departure and return times, the route, the order of activities and the activities themselves can all change — mountain weather, road and landslide closures, vehicle trouble, and the pace of the group on the day are the usual reasons.
We will always try to give you something of equivalent value in place of anything we drop, and we will tell you as early as we can. A change of this kind is not on its own a reason for a refund.
If we have to cancel a Chapter outright before departure, you choose between a full refund and a place on the next Chapter. That is the limit of what we owe you for a cancellation by us — in particular we do not cover travel you booked separately to reach the meeting point.
The vehicle leaves the meeting point at the stated time. If you are not there, we cannot wait for you and no refund is due.
07. Cancellations, changes and refunds
To cancel or change a booking, contact us with your booking reference. The date we receive your message is the date we use.
- 14 or more days before departure — full refund.
- 7 to 13 days before departure — 50% refund.
- Fewer than 7 days before departure, or no-show — no refund.
Instead of cancelling, you may pass your place to someone else at any time up to 48 hours before departure, provided they meet the booking requirements and we have their details. There is no charge for this.
On a group booking, the lead booker may reduce the group down to the two-guest minimum on the terms above. Dropping below two guests is a cancellation of the whole booking.
Refunds go back to the account the payment came from, and we aim to send them within 14 days of agreeing them. We do not refund a guest we remove during a Chapter under Conduct below.
08. Health, fitness and personal risk
Chapters are physically active. A Chapter can involve several hours of trekking on uneven, unpaved trails, a long day that starts before dawn and ends after midnight, changeable cold and wet weather, and altitude. You are taking part because you want to, and you accept the ordinary risks that come with it.
You must tell us before departure about any medical condition, injury, allergy, dietary requirement or medication that could affect you or the group, or that we would need to know about in an emergency. Tell us in confidence; we will only share what is needed to keep you safe.
We strongly recommend you arrange your own travel and medical insurance. We do not provide it, and we do not cover medical costs.
Our team may stop you from joining a specific activity if we honestly believe it is unsafe for you or for the group. We would rather have that conversation than an accident. No refund is due for an activity you are stood down from on safety grounds.
You are responsible for your own belongings for the whole Chapter, including anything left on the vehicle or at accommodation.
09. Conduct
A Chapter is a group of people, most of whom have not met. The whole thing rests on everyone being decent to each other. We ask you to be on time, to follow reasonable instructions from our team and from drivers, to respect the places we visit and the people who live there, and to leave nothing behind.
Harassment of any kind, discriminatory or abusive behaviour, unwanted physical contact, illegal drugs, and behaviour that puts anyone at risk are not tolerated.
If your behaviour is unacceptable, or if you place yourself or others in danger, we may remove you from the Chapter. If we do, you forfeit the rest of the Chapter with no refund, and you are responsible for your own onward travel and costs from that point. We may also decline your future bookings.
You are liable for any loss or damage you cause to a vehicle, accommodation or venue, and you may be billed for it directly by the provider.
10. Photography and video
We take photographs and video on Chapters, and we use them on this website, on our Instagram and in other KREW Club promotion. By attending you agree that we may do so without payment to you.
If you would rather not appear, tell us before departure or tell the person holding the camera on the day, and we will keep you out of shot. If something of you is already published and you want it taken down, contact us and we will remove it from anything we control.
Photographs you take yourself are yours. Please be as considerate with other guests' privacy as you would want them to be with yours.
11. Your personal information
To take a booking we collect, for each guest: full name, date of birth, email address, mobile number, Instagram handle, gender and occupation. We also keep the proof-of-payment image you upload, the seats assigned to you, and your booking and registration references.
We use it to confirm your booking, to check your payment, to contact you about the Chapter you have booked, to allocate seats, and to be able to reach someone in an emergency. We do not sell it, and we do not use it for advertising by anyone else.
Booking records are held in a private Google Workspace account that only the KREW Club organisers can open. Payment screenshots are stored in a private folder in the same account. Neither is public, and neither is shared with other guests.
We share the minimum necessary with the transport and accommodation providers for your Chapter — usually a guest list of names — and with medical or emergency services if you need them.
We keep booking records for as long as we need them for the Chapter and for our own accounts. You can ask us at any time for a copy of what we hold about you, ask us to correct it, or ask us to delete it; where we can delete it without breaking our own record-keeping obligations, we will.
This website does not run advertising trackers. Your progress through the booking form is saved in your own browser so you do not lose it if you close the tab; that copy never leaves your device, holds no payment details, and is cleared when your booking completes.
12. Our responsibility to you
We will organise and run each Chapter with reasonable skill and care. Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot lawfully be limited.
Beyond that, and to the extent the law allows, our total liability to you for anything connected with a booking is limited to what you paid us for that booking.
We are not responsible for the acts or omissions of transport, accommodation or activity providers beyond our reasonable control, for loss or damage to your belongings, for indirect or consequential losses such as lost earnings or a missed connection, or for anything caused by you giving us information that was wrong or incomplete.
We are not liable for failing to deliver a Chapter where the cause is outside our reasonable control — severe weather, landslides or road closures, natural disaster, epidemic, war or civil unrest, strike, or an act or order of a public authority. Where that happens we will offer you a place on a later Chapter or refund what we have not already committed on your behalf.
13. This website
The KREW Club name, logo, photographs, text and design on this site belong to us. You may not copy or reuse them commercially without our permission.
We try to keep prices, dates and itineraries accurate, but we may correct an obvious error. If a correction affects a booking you have already made, we will tell you and you may cancel for a full refund.
14. Changes to these terms
We may update these terms. The version that applies to your booking is the one published when you booked, so a later change cannot be used against you. The date at the top of this page shows when it was last revised.
15. How to reach us
For anything about a booking — a change, a cancellation, a health disclosure, a photograph, or a request about your information — message us and quote your booking reference.

16. Governing law
These terms are governed by the laws of Pakistan, and the courts of Islamabad, Pakistan have exclusive jurisdiction over any dispute arising from them.
If any part of these terms turns out to be unenforceable, the rest continues to apply.
